Privacy Policy
Effective November 7, 2026. These pages have not yet been reviewed by an attorney. They describe how we actually work today, and we will update them after review.
1. Who we are
Toledo Automations LLC (“we”, “us”) is run by James Walsh in Holland, Ohio. You can reach us by email at [email protected]. We don't have a public phone line and take privacy requests by email.
This policy covers this website and our services: Lead-Safe paperwork coordination and vacant-home registry help for Toledo rental owners, the Landlord Compliance Calendar, and missed-call text-back and AI call answering for small businesses (“clients”).
2. What we collect
- From you, when you contact us or ask for a service: your name, email address, mailing address, the properties you ask about (address, parcel number, unit count, year built), whether you are outside Lucas County, your answers on our checklists, and documents you choose to send us, such as an inspector's clearance report.
- What you write to us by email.
- Public records: property and parcel facts from public sources, such as the Lucas County Auditor and City of Toledo, used only to check or fill in the paperwork you asked for.
- For missed-call clients, about their callers: caller phone number, call time, the notice heard, voicemail or message content, recordings and transcripts, text messages, and opt-out status.
- This website: basic server logs from our web host (such as IP address, browser, page and time). We do not use analytics or advertising cookies.
We do not ask for or keep your passwords for the City portal or any other account, Social Security numbers, bank or card numbers, or tenant personal information. If a document you send contains tenant information, we don't use it, and we'll ask you for a version without it.
3. The Get started form and the address lookup
Right now, the Get started form on this site keeps your answers only in your own browser on your device, and no payment is taken. To send us a request, you email us. When you type an address, suggestions come through our server from OpenStreetMap, and the deadline lookup uses this site's own copy of public county address records. We do not save what you type.
4. Why we use it
- To provide the service you asked for: checking paperwork, building your packet, and sending the reminders you agreed to.
- To answer your emails.
- For missed-call clients: to pass each caller's message to the client, send the texts described below, and honor opt-outs.
- To keep the records we need for billing, taxes and the law, and opt-out records so we don't contact someone again.
We do not use public records to send “your property may be in violation” notices, and we do not make legal decisions about you.
5. We do not sell your information
We do not sell personal information, and we do not share it with third parties for their own marketing. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.
6. Who processes it for us
We use a small number of service providers that handle data only to run our services, such as our web host and our email provider, and for missed-call clients, phone, text and automated-answering providers. We may disclose information if the law requires it. We do not send your information to the City of Toledo or any agency. You file your own paperwork.
7. How long we keep it
We keep information only as long as we need it to provide the service, keep required business and tax records, and honor opt-outs. Opt-out and unsubscribe records are kept even when other data is deleted, so we don't contact you again. You can ask us to delete your information at any time (section 10).
8. Email
Service and reminder emails go only to owners who asked for them, and every reminder email lets you stop reminders. We do not make marketing calls or send marketing texts.
9. Text messages (missed-call text-back)
These texts are sent on behalf of a client business, under that business's name, to people who just called it.
- Consent is not a condition of purchase.
- Message frequency varies. Usually 1 message per missed call, plus replies to your messages. Message and data rates may apply.
- We do not send marketing messages through this program.
- To stop texts, reply STOP, QUIT, END, REVOKE, OPT OUT, CANCEL or UNSUBSCRIBE. Plain requests like “don't text me” are honored too. You get one confirmation and no more texts from that number.
- For help, reply HELP. The reply gives the client business's own contact details.
- Opt-outs are applied right away, and never later than 10 business days after we receive them.
- Carriers are not liable for delayed or undelivered messages.
10. Your choices
Email [email protected] to see the personal information we hold about you, correct it, have it deleted (except opt-out records and records the law requires us to keep), or stop reminders at any time. We may need to confirm the request came from you.
11. Children
Our services are for property owners and businesses. They are not meant for anyone under 18, and we do not knowingly collect information from children under 13. If you think we have, email us and we will delete it.
12. Security
We limit access to the people who need it, use providers with encrypted connections, and never ask for your account passwords. No system is perfectly secure.
13. Changes
If we change this policy, we post the new version here with a new effective date. If a change is material, we email current customers before it applies.
